The privacy of your data — and it is your data, not ours — matters to us. This policy explains what we collect, why we collect it, how we use and share it, and the rights you have. We never sell your personal data.

This policy applies to all products and websites operated by Sena Technologies, Inc. ("Sena," "we," "us").

1) What we collect

We collect personal data in two main ways:

  • When you create an account: name, email, LinkedIn URL, optional profile info, and any content you upload (such as lists of LinkedIn URLs).

  • When you interact without an account (for example, at an event or community check-in using our Voice Agent): the email and LinkedIn URL you provide in a light form, plus your voice input (processed into transcripts and insights).

In both cases, we may also collect:

  • Insights generated by our AI (summaries, recommendations, or matches).

  • Billing data if you purchase paid services.

  • Usage data such as IP address, device/browser type, and security logs.

  • Voluntary communications you send us (emails, surveys, support requests).

We only use public LinkedIn profile data and the information you choose to provide.

2) Profiles added by others

Our users may upload or share LinkedIn profile URLs of people in their networks (for example, to build a directory or request connections). In such cases, we collect and enrich publicly available profile data from LinkedIn about those individuals.

We process this data under our legitimate interest in providing networking and matching services. If your profile has been added to Sena and you prefer not to be included, you can request access or deletion of your data at privacy@joinsena.com.

3) How we use your data

  • To provide and improve the service (account setup, AI conversations, insights, security).

  • To record and process voice input for transcripts and matches (with your consent).

  • To send essential service emails. Marketing emails are only sent if you separately opt in.

  • To protect against abuse and fraud (e.g., CAPTCHAs, security monitoring).

Legal bases: contract performance, consent (voice recording, optional marketing), and legitimate interests (improving and securing our services).

4) Sharing with service providers

We use trusted third parties to deliver our services, including:

  • Cloud hosting and storage providers

  • Analytics and security vendors

  • AI providers for speech-to-text, text-to-speech, and conversation analysis

We may update providers as technology, performance, and costs evolve. An up-to-date list of our subprocessors is always available at: https://sena.so/pages/subprocessors

All providers act under Data Processing Agreements and may only process data on our instructions.

5) International transfers

We operate in the United States. If your data is transferred from the EU/EEA or UK to countries without an adequacy decision, we rely on Standard Contractual Clauses and apply safeguards such as encryption and access controls.

6) Retention and deletion

  • Voice recordings: deleted within 48 hours after transcription.

  • Transcripts and insights: retained while your account is active and as required for compliance.

  • Account and billing data: retained while your account is active and as required for compliance.

  • Backups: securely expire on a rolling schedule, normally within 60 days.

If you close your account, active content is removed within 60 days, with backups following their cycle.

7) Your rights

You may have the right to: access, correct, delete, restrict or object to processing, request portability, and withdraw consent.

To exercise these rights, email privacy@joinsena.com. We may need to verify your identity. You can also lodge a complaint with your local data protection authority.

8) Security

We use encryption in transit, encryption for stored files, strict access controls, monitoring, and backups. Employee access to personal data is limited. In case of a data breach, we will notify affected users and regulators as required.

9) Cookies and analytics

We use cookies to keep you signed in and remember preferences. We also use limited analytics and testing to improve our apps and sites. You can manage cookies in your browser settings.

10) Controller vs processor

  • For individuals who sign up to use Sena: we are the data controller.

  • For organizations using Sena with their end users: we process end-user data as their data processor under a separate services agreement and data protection addendum.
